With the following information, we would like to give you an overview of the processing of your personal data by GPTW Switzerland AG and your rights under the Swiss Data Protection Act (DSG) and the General Data Protection Regulation (GDPR). The DPA applies to all personal data of persons resident in Switzerland, while the GDPR covers personal data of persons within the EU. For persons residing outside Switzerland and the EU, GPTW Switzerland AG undertakes to comply with the applicable laws and regulations.

Which data is processed in detail and how it is used depends largely on the services requested by your employer or agreed with GPTW Switzerland AG. Therefore, not all parts of this information will apply to you.

Who is responsible for data collection?

Conducting a Great Place To Work® survey is data processing pursuant to Art. 9 of the Swiss Federal Act on Data Protection (FADP) or Art. 28 of the GDPR, with GPTW Switzerland AG acting as the processor and your employer as the controller. Your employer is therefore responsible for data collection.

Please ask your employer about the processing of personal data - namely whose data is processed, for what purpose this data is processed and which personal data is passed on to GPTW Switzerland AG. EU representative pursuant to Art. 27 GDPR

For data subjects and supervisory authorities within the European Union, we have appointed an EU representative in accordance with Art. 27 GDPR, who serves as your point of contact for data protection issues. What personal data is collected?

Depending on the survey your employer conducts with GPTW Switzerland AG, different personal data will be collected. The survey will be conducted using either the Emprising™ survey platform or OneManyAny (OMA).

There is also the possibility that your company will either invite you via business email or provide you with a code. If you are surveyed with Emprising™, you will recognize this by the invitation via email. This will contain the Emprising™ logo. Otherwise you will be surveyed with OMA. For code surveys, you will receive information on the survey platform used from your employer.

The following lists the personal information that will be collected to conduct the employee survey/trainee survey/trainer survey.

Emprising™

When you complete the employee survey, learner survey, and/or trainer survey with Emprising™, your employer will upload at least the following personal data into the tool via an employee list before the survey begins:

  • Your business email address, IP address, session ID (temporary), date and time of survey start and completion, chosen survey language, browser user agent information for troubleshooting purposes.
  • If you do not have a business email address, a unique code will be created for you. The following data will also be collected: IP address, session ID (temporary), date and time of survey start and completion, selected survey language, and browser user agent information for troubleshooting purposes.
  • Your employer may collect or request further information about your organizational affiliation (e.g. location, team, ...).

OMA

If you conduct the employee survey, learner survey, and/or trainer survey with One Many Any (OMA) to complete, at least the following personal data will be uploaded by GPTW Switzerland AG via an employee list into the tool before the start of the survey

  • Your business e-mail address
  • If you do not have a business e-mail address, an individual code will be created for you
  • Under certain circumstances, your employer may collect or request additional information about your organizational affiliation (e.g., location, team, etc.).

Regardless of the survey tool, the following are always collected:

  • Demographic Information Employee survey to your age, length of employment, gender, job level, and type of employment. If your employer has already recorded the demographic information in the employee list, no questions about these will appear in the questionnaire. If the data has not been recorded in the employee list, it will be asked in the questionnaire:
    • Your age is recorded in 10-year intervals (up to 25 years, 26 to 34 years, 35 to 44 years, 45 to 54 years, 55 years and older)
    • Your period of employment is recorded in intervals (less than 2 years, 2 to 5 years, 6 to 10 years, 11 to 15 years, 16-20 years, longer than 20 years)
    • Your job level is recorded at four levels (employee without management responsibility; lower management level: manages employees, not managers; middle management level: also manages other managers, not in the upper management team; upper management level: highest management level, board member, management)
    • Your type of employment is recorded as full-time (100%) and part-time (< 100%)
    • Your gender is recorded as male, female, other, or gender not listed here, with the demographic variable gender being the only one that cannot be stored in the employee list and must always be asked in the questionnaire.
  • Demographic Information (Learner Survey) your age, your year of study, your gender, your desired degree. If your employer has already recorded the demographic information in the employee list, no questions about these will appear in the questionnaire. If the data has not been recorded in the employee list, it will be asked in the questionnaire:
    • Your age is recorded in intervals (under 18, 18 to 21 years, over 21 years)
    • Your intended degree will be recorded as (Vocational Education and Training with Federal Certificate of Professional Education and Training (VETO), Federal Diploma of Vocational Education and Training (FDVET), Federal Diploma of Vocational Education and Training (FDVET) with Federal Matura).
    • Your gender is recorded as male, female, other, or unlisted.
    • Your training year will be recorded as 1st year of training, 2nd year of training, 3rd year of training, 4th year of training.
    • Official vocational training title according to SERI (State Secretariat for Education, Research and Innovation)
  • Demographic Information (Trainer Survey) regarding your age, your highest degree, your gender, and your length of employment. If your employer has already entered the demographic information into the employee list, no questions about these will appear in the questionnaire. If the data has not been entered into the employee list, these will be asked in the questionnaire:
    • Your age is recorded in intervals (up to 25 years, 26 to 34 years, 35 to 44 years, 45 to 54 years, 55 years and older)
    • Your period of employment is recorded in intervals (less than 2 years, 2 to 5 years, 6 to 10 years, 11 to 15 years, 16-20 years, longer than 20 years)
    • Your gender is recorded as male, female, other, or unlisted.
    • Your highest level of education will be recorded as no formal education, Compulsory schooling (secondary level), Apprenticeship EBA/EFZ, Apprenticeship with professional baccalaureate, General Baccalaureate, Bachelor's / Advanced Technical College, Master's, or PhD.

Open questions

At the end of the employee survey, the following two open-ended questions are also included: 

  1. Is there anything exceptional or special about your organization that makes it stand out as a particularly positive workplace? Please give specific examples.
  2. If you could change one thing to make your organization a better place to work, what would it be? Please give specific examples.

At the end of the learner survey, the following two open-ended questions are also included: 

  1. What do you like best about your training company? Please provide specific examples.
  2. What would you change about your training company if you could? Please give specific examples.

At the end of the trainer survey, the following two open-ended questions are also included: 

  1. What do you particularly like about your role as an instructor? Please give concrete examples.
  2. If you could, what would you change about your role as a trainer? Give specific examples.

Please note: By default, responses to open-ended questions will be forwarded to your employer exactly as written by the survey respondents, without removing names or other personal data that could lead to the identification of individuals. Therefore, if you do not wish to identify yourself by writing a comment, avoid any references to yourself. Please also note that if you write a comment in a foreign language that only a few people in your company speak, this may also allow conclusions to be drawn about your identity. Therefore, if possible, write comments in the official company language.

For what purposes is the collected personal data processed?

The information provided above will be used exclusively for analyzing the results. GPTW Switzerland AG guarantees to use your personal data solely for the employee survey, apprentice survey, and/or trainer survey.

We guarantee that the identity of all participants and their responses will be treated with absolute confidentiality under all circumstances. The evaluation is carried out in aggregated form and only if 5 or more people from a group (organizational unit, demographic group, for example the 55+ age group - see chart 2) have completed the survey. An illustration of this group principle is shown in the charts below:

Teamwork and cooperation in Department A with 10 and 7 responses, presentation of team structures and participation in surveys, promotes transparency and trust.
Figure 1: Responses from employees in groups smaller than 5 are not lost, but are included in the next highest organizational unit.
The Great Place To Work certification shows the trust and satisfaction of employees in the organization, based on survey results on trust, demographics and working environment.

Under no circumstances will your employer receive information about individual responses. Nor will GPTW Switzerland AG provide any information about who did or did not take part in the survey.

Your participation is voluntary at all times. No personal information will be collected without your knowledge and consent. You have the right to withdraw from the survey at any time. Answers to questions may be skipped within the questionnaire.

How long will this personal data be stored?

Emprising™

5 days after the end of the survey The email addresses or codes from your individual responses to the questionnaire will be decoupled and deleted. From this point on, only raw data will be available in the Emprising™ survey tool, meaning no personal data will remain. Up until this point, only GPTW Switzerland AG will know which responses belong to which person. After the data is decoupled, even GPTW Switzerland AG will no longer know which responses belong to which person. Under no circumstances will your employer receive any information about individual responses at any time.

OMA

Email addresses are once annually in March decoupled and deleted from individual questionnaire responses. From this point on, only raw data will be available in the OMA survey tool, meaning no more personal data. Until this point, only GPTW Switzerland AG knows which answers belong to which person. After the data is decoupled, GPTW Switzerland AG also no longer knows which answers belong to which person.

What data is passed on to third parties and for what purposes?

Emprising™

In the context of the employee survey / trainee survey / trainer survey, GPTW Switzerland AG works with third parties at various points. The Emprising™ survey platform is managed and offered by the subcontractor Great Place to Work® Institute, Inc. (global parent organization). Two application modules are used to conduct the employee survey: the Emprising™ survey platform and the Client Portal, which is the administration and management platform for surveys. If you are an administrator for the survey platform, or if you have received access to survey results as a manager, your personal data, specifically your email address, will in any case be stored on the US server, managed by Great Place to Work® Institute, Inc. This storage of your personal data is necessary to grant you access to manage your survey and/or view your results and is managed through the Client Portal.

If you participate in the survey as an employee, your personal data will be stored either on a server located in the USA or Europe (Netherlands). You can request the server location for your survey from your employer. The transmission of your personal data (see chapter "What personal data is collected") is necessary so that you can participate in the survey.

All servers are managed via Microsoft Azure and the transmission of the response data to the survey server is highly encrypted via AES-256 (256-bit) so that the data cannot be viewed by unauthorized persons. Eavesdropping or recording of employee responses is virtually impossible.

OMA

In the context of the employee survey / trainee survey / trainer survey, GPTW Switzerland AG collaborates with third parties in various areas. The OMA survey platform is managed and provided by the subcontractor Trust Lab Limited. If you participate in the survey as an employee, your personal data will be stored on a server managed by Trust Lab Limited. The transmission of your personal data (see chapter «Which personal data is collected») is necessary for you to participate in the survey.

The questionnaire is processed online directly on a server of the company Trust Lab Limited with server location in Poland. All files are stored on secure, private, dedicated servers with transmissions using at least 256-bit SSL encryption. All backup files are encrypted.
